Great Ouseburn Village Hall Committee Meeting

Wednesday 26th July 2006

Sue White, Anne Tankard, Judith Burton, Margaret Williams, Andrew Wells, Keith Scott, Don McKenzie, Peter Goldsmith, Chris Brown and David Dwight.

Minutes of the previous meeting

The minutes were agreed proposed Don McKenzie seconded Sue White.

 

Matters Arising

 

Development of first floor facilities

A discussion took place over the sketch drawing of the proposed 1st Floor, balcony and ramp and this met with the full approval of the project by those present.  Harrogate council do not foresee any problems at this stage and it was agreed to go ahead and get the structural drawings done at an approximate cost of £600, proposed Keith Scott, seconded Chris Brown, and Chris Brown to arrange.  The next sub Committee meeting will be arranged on completion of the drawings.

 

Outside Painting Day

The giraffe had not been available for the day due to a breakdown.  The two doors on the Lightmire Lane side have been painted.  The next painting day will be on Sunday, 17th September 2006 at 2.30pm. 

 

Village Hall Emergency Phone Line

The Phone line is now installed in the kitchen.

 

 

Charges

After discussion it was agreed to continue charging the Cricket Club for 1 hour for the use of the Kitchen & Committee room on Saturdays and a fixed charge for the changing rooms for the year.  Discussion also took place on whether to allow a reduced charge for the start-up of a new business, it was decided that the full charge should apply. 

 

Village Hall 21st Birthday Event

This is booked for Saturday 23rd June 2007, ideas for next meeting for entertainment e.g. school bands, Jazz band etc.

 

 

Indian Summer Evening

This is booked for Saturday 30th September 2006.  Tickets £10, budget for food approximately £5/person, 100 people, Chris Brown dealing with food order.  Disco, Paul if available, Indian material for decoration, Anne Tankard to keep an eye open, Keith Scott to ask school if they would be willing to do some art work.  Richard Kay to do tickets and posters.

 

Accounts Headings and Allocations

The attached spreadsheet was agreed, proposed Chris Brown, seconded Andrew Wells. Thanks were expressed to Anne & Keith for producing the spreadsheet.  It was felt that this was a good way of monitoring our projects and available money.

Finance Report

The accounts have been audited and Anne Tankard is to send the details to the Charity Commission.

 

Fund Raising

Barn Dance to be held on Saturday 25th November 2006, Keith Scott is to book hall.  Don McKenzie is to get price and availability of caller and band.

 

East Vs West Cricket match is on Sunday 30th July at 2.00pm.  Village Hall to provide drinks in the kitchen. Chris Brown and Keith Scott to obtain drink.
