Minutes of previous meeting

The committee approved the minutes from the previous meeting. D Mc proposed & K Scott seconded.

 

Items Arising

 

Heater Booster Switch.

This has now been installed and operational. The switch will keep the heating system for 15,30, 60 min until the room reaches a pre-set temperature of 21 degrees.

KS suggested that we install a booster switch to each of the heaters in the committee room. At the moment these need to be switched on and off manually. Sometimes these are left on and waste electric. The booster switches would save the VH hall money. KS informed the committee that these switches would cost approximately £75.

RK proposed we action this, JB seconded.

Village Hall Accounts

AT presented the committee with a resume of the village hall accounts.

AT asked the committee if she could put approx £5000 into a deposit account for an initial 3-month period.

The state of the village hall accounts are in good order and in line with the committee’s aspirations of income exceeding the running costs of the village hall.

RK proposed that the vhc should crack on with the sound loop project. KS suggested that we go back to PT to look at the costing again for the next meeting.

CB thanked AT for all her hard work as treasurer.

Spring Garden Festival Dance  

Trish and David Meakin came to confirm that vhc would organise the dance. This year the dance will be 2 weeks after the open gardens. This will enable every one involved in the open gardens to enjoy the dance.

The dance will be on 12th May 2007.

Open Gardens Raffle.

The vhc will organise and run the raffle. TM to inform the committee in New Year of the format.

 

 

 

Basic fomat

 

Need to apply to Harrogate council for a licence to promote the raffle.

Main prize £100 vouchers, 3 hampers plus, 6 main prizes plus a number of other smaller prizes.

The week before tickets to be sold at Morrison’s over the weekend. (Need to write and book the slot with the store manager).

Volunteers need to sell tickets at the open gardens.

Remember some prizes have to be posted out to the winners.

 

Window Cleaning.

AT informed the vhc that David Flintoff a local window cleaner is more competitive than the current contractor and could we give him the job of cleaning the vh windows.

 

Fund raising

 

Barn Dance

Tickets sold so far are @ 26 with a lot of people to still buy.

Under 11 £5.00 and over 11 £10.00

RK to bring the bar stock to the vh on Friday 24th.

RK to organise the pies with voakes pies. CB to collect on the night.

Jane Ellis to organise the cooking of the peas.

RK to purchase strong disposable plates and cutlery

JB to organise napkins

RK to organise the float.

The whole committee to keep pushing ticket sales hard.

VHC to meet 2.30 pm Saturday 25th to decorate the vh

 

Other fund raising ideas

 

James Bond Theme Valentines / Casinos night

Alison Wells has asked the vhc to run the bar for a party, which she has organised, and the vhc to keep the profits.

The Great Yorkshire Bike Ride has enquired about hiring the hall and its facilitys for June 16th as pit stop for the bike ride

 

PVL mobile cinema licence

 

KS informed the committee that the vh now has access to a mobile cinema through a group called Yore Vision. To operate this we needed to apply for a licence, which will cost £88 per year.

This is an other great service that has been added to the village hall. CB proposed that KS apply for the licence, SW seconded.

AOB

Tidy up.

The tidy for the 12th November was postponed until the New Year. All the parties to be informed of the new date in the New Year.

Fire extinguisher

CB asked if PT had organised the refilling of the extinguisher, which was let off. RK to chase up.

CB is to investigate about getting a new disabled access ramp for the entrance into the village hall.

Committee Room Lights.

KS to investigate into if we can convert the bulbs into energy saving light bulbs. Should save some cost and energy.

 

The meeting closed at 8.50 pm.

The next meeting will be January 10th 2007 @ 7.30 pm.
